Why your provider or appointment times are not showing

Why your provider or appointment times are not showing

If you cannot find a provider or appointment time in the Silent Hill Health patient portal, it does not always mean the provider is unavailable or that you cannot be seen. Online scheduling only shows appointments that match the selected visit type, location, provider rules, and current scheduling availability.

This article explains why providers or appointment times may not appear, what to check first, and when to request help from scheduling support.

Why your provider is not showing

Some providers do not appear in online scheduling for every patient, visit type, or location. This may happen because of provider availability, department rules, or the type of care you are trying to schedule.

A provider may not appear if:

  • The provider does not offer online scheduling for that visit type.
  • The provider is not currently accepting new patients through the portal.
  • The provider only schedules through their department or care team.
  • You selected a location where that provider does not see patients.
  • A referral, order, or prior review is required before scheduling.
  • The provider’s schedule is full or temporarily closed for online booking.

Why appointment times are not showing

Appointment times appear only when the portal finds an open slot that matches the visit type, provider, location, and scheduling rules you selected. If no times appear, the visit may still be available through manual scheduling.

What you see What it may mean
No times available The provider’s online schedule may be full, closed, or unavailable for the selected visit type.
Only far future dates appear Earlier appointments may be full, held for urgent needs, or only available through manual scheduling.
Only one location appears The visit type or provider may only support online scheduling at certain locations.
Times disappear after changing filters The new filter combination may not match any available appointment slots.

Check filters and locations

Before submitting a support request, try widening your scheduling search. A provider or appointment time may be hidden because of the filters selected in the portal.

  1. Sign in to your Silent Hill Health patient portal.
  2. Go to Appointments & Scheduling.
  3. Confirm that the correct patient profile is selected.
  4. Remove extra filters, such as a specific provider, location, or date range.
  5. Try searching by department or visit reason instead of provider name.
  6. Check nearby Silent Hill Health locations if you are comfortable traveling.
  7. Try a different visit type if your discharge instructions or referral gives more than one option.

If the visit is related to a recent emergency visit or hospital discharge, do not choose an unrelated visit type just to find an open time. Request scheduling help so the team can route the appointment correctly.

Visit type restrictions

Some appointments require a specific visit type because they need extra time, a particular provider, department approval, or review of your medical record before scheduling.

Appointment times may be limited for:

  • Post-discharge follow-up visits
  • Emergency department follow-ups
  • Behavioral health or Brookhaven follow-up care
  • Medication review visits
  • Specialty care that requires a referral
  • Appointments that require labs, imaging, or records before the visit

If a visit type is restricted, the portal may hide some providers or appointment times until the care team confirms what kind of appointment is needed.

Brookhaven and Alchemilla scheduling limitations

Brookhaven Hospital and Alchemilla Hospital appointments may follow additional scheduling rules because many visits depend on discharge instructions, provider review, department routing, or care coordination.

Location or service Why providers or times may not show
Alchemilla emergency follow-up The care team may need to review your emergency visit, test results, imaging, or discharge instructions before scheduling the correct follow-up.
Brookhaven discharge follow-up Behavioral health follow-up may require provider matching, safety planning, medication review, or coordination with outpatient services.
Specialty care A referral, diagnosis, order, or department review may be required before appointment options appear.
Care team follow-up The appointment may be scheduled by the team directly instead of being offered as a self-scheduled portal visit.

Important: If you were told to follow up within a specific timeframe and no appointment times are showing, submit a scheduling help request instead of waiting for new times to appear.

Request scheduling help

If you cannot find the provider or appointment time you need, submit a scheduling help request through the portal.

  1. Sign in to your Silent Hill Health patient portal.
  2. Go to Appointments & Scheduling.
  3. Select Request scheduling help.
  4. Choose Provider or appointment times not showing.
  5. Enter the provider, location, department, or visit type you were trying to schedule.
  6. Include any referral, discharge instruction, or recommended follow-up timeframe, if available.
  7. Submit your request for review by the scheduling team.

FAQ

Does this mean my provider is no longer with Silent Hill Health?

Not necessarily. A provider may still be part of Silent Hill Health but unavailable for direct online scheduling. They may schedule only through their department, have a full schedule, or require care team review for certain visit types.

Why were appointment times showing earlier but not now?

Appointment availability can change as other patients schedule, cancel, or reschedule visits. Some slots may also be held for urgent needs or removed while a department reviews scheduling capacity.

Should I choose a different visit type to find more times?

Only choose a visit type that matches the care you need. Choosing the wrong visit type may cause the appointment to be rescheduled or delayed. If you are not sure which visit type to choose, request scheduling help.

Why can I see the department but not the provider I want?

Some departments schedule by care team instead of by individual provider. The scheduling team may assign the provider based on availability, visit type, follow-up needs, or department rules.

What if I need to be seen urgently?

If you need urgent medical care, call local emergency services or go to the nearest emergency department. Do not wait for online appointment times to appear if your concern may be an emergency.
