Schedule a specialist appointment after receiving a referral

Schedule a specialist appointment after receiving a referral

After a referral is approved or marked ready to schedule, you may be able to book a specialist appointment through the Silent Hill Health patient portal. Some referrals can be scheduled online, while others must be scheduled by the specialty department or care team.

This article explains how to schedule from a referral, why specialist scheduling may look different from routine scheduling, what to do if the referred provider does not appear, and how to prepare for your specialist visit.

Before you schedule

Make sure the referral is ready before trying to schedule. A referral that is still pending, in review, or waiting for information may not show appointment options yet.

Check that you have:

  • A referral that shows Approved, Ready to schedule, or similar wording.
  • The specialty, department, or provider listed on the referral.
  • The facility or location where the referral was sent, if one is listed.
  • Any scheduling instructions from your provider, care team, or discharge paperwork.
  • Any records, labs, imaging, or visit notes the specialist may need before the appointment.

Schedule from a referral

If your referral is ready for online scheduling, you can usually schedule directly from the referral details page.

  1. Sign in to your Silent Hill Health patient portal.
  2. Go to Referrals or Appointments & Scheduling.
  3. Select the referral you want to schedule from.
  4. Review the specialty, provider, facility, and scheduling instructions.
  5. Select Schedule appointment, Book from referral, or the available scheduling option.
  6. Choose an available appointment time, if online times are listed.
  7. Review the appointment type, location, and provider before confirming.
  8. Confirm or submit the appointment request.

If the referral page tells you to wait for a call or message from the specialty department, follow those instructions instead of choosing an unrelated visit type online.

Specialist scheduling vs. routine scheduling

Specialist scheduling may look different from routine appointment scheduling because specialists often review the referral before offering appointment options.

Scheduling type How it works
Routine scheduling You choose a visit type, provider, location, and time from available portal options.
Referral-based scheduling The specialist or department may review the referral before deciding which provider, location, or visit type is appropriate.
Manual specialist scheduling The specialty department contacts you directly or asks you to submit a scheduling request instead of showing online appointment times.

If the referred provider is not showing

A referral may list a specialty, department, or facility instead of a specific provider. Even if a provider name appears on the referral, that provider may not always show in online scheduling.

A provider may not appear if:

  • The department schedules by care team instead of by individual provider.
  • The provider does not offer online scheduling for referral-based visits.
  • The referral must be reviewed before the provider can be selected.
  • The provider is fully booked or not accepting new referral appointments online.
  • The referral was routed to a different provider with earlier availability.
  • The facility or location filter does not match where the provider sees referred patients.

If the referral names a specific provider but you cannot select them, submit a scheduling help request from the referral page instead of booking a different visit type.

If no appointment times are available

If the referral is ready but no appointment times appear, the specialist may still be available through manual scheduling. Some departments do not show all referral-based appointments online.

  1. Confirm that the referral status says Approved or Ready to schedule.
  2. Remove extra filters, such as a specific provider, date range, or location.
  3. Check whether the referral includes instructions to wait for department outreach.
  4. Look for a Request scheduling help or Contact department option.
  5. Submit a scheduling help request if no times are available and your referral is ready.

Important: If your referral or discharge instructions say you need to be seen within a specific timeframe, include that timeframe when requesting scheduling help.

Facility or department routing

A referral may be routed to a facility, department, or specialty group before a specific provider is assigned. This helps the care team match the referral to the correct appointment type and location.

Referral route What it may mean
Specific provider The referral names a provider, but scheduling may still depend on availability, location, or department review.
Specialty department The department may assign the provider based on your referral reason, urgency, and appointment availability.
Facility or clinic The referral is tied to a location, and appointment options may only appear for that facility.
Hospital follow-up service The referral may be routed from Alchemilla, Brookhaven, or another hospital-based team for coordinated follow-up care.

What to bring to the specialist appointment

Before your specialist visit, review the appointment instructions and make sure the specialist has the information they need.

  • Your referral information or referral confirmation
  • Your insurance card and photo ID, if needed for check-in
  • A list of current medications, including recent medication changes
  • Recent lab results, imaging reports, or outside records, if they were not already sent
  • Discharge instructions from Alchemilla Hospital or Brookhaven Hospital, if related to the referral
  • Questions you want to ask the specialist during the visit

If records need to be sent before the visit, request records transfer as early as possible so the specialist has time to review them.

FAQ

Does a referral mean my specialist appointment is already scheduled?

No. A referral usually starts or supports the scheduling process. You may still need to schedule the appointment after the referral is approved or marked ready to schedule.

Why can I see the referral but not schedule from it?

The referral may still be pending review, waiting for records, waiting for insurance review, or assigned to a department that schedules manually. Check the referral status and instructions before requesting help.

Can I choose a different specialist than the one listed?

Sometimes. The referral may need to be updated if you want a different provider, facility, or specialty department. Request referral support before scheduling with a different specialist.

Why are there no appointment times after my referral was approved?

The specialist may be fully booked online, the department may schedule referrals manually, or the referral may require additional review before times are released. Submit a scheduling help request if no times appear.

What if my referral came from Alchemilla or Brookhaven?

Hospital-based referrals may be routed through a care team before scheduling. Alchemilla referrals may depend on emergency or discharge follow-up instructions. Brookhaven referrals may involve behavioral health review, medication monitoring, outpatient care, or safety planning needs.
