What happens if you are late, miss a visit, or your appointment is cancelled

If you are late, miss a visit, or receive a notice that your appointment was cancelled, check your patient portal for updated instructions. Some appointments can be rescheduled online, while others require Scheduling Services or the facility department to review the appointment before a new time is offered.

Late arrival, missed visit, and cancellation rules may vary by appointment type. Brookhaven behavioral health intake, Alchemilla emergency follow-up, lab work, imaging, diagnostic testing, procedure follow-up, and specialist referrals may have different scheduling limits.

Note: Appointment status may change during department closures, emergency department surges, provider schedule changes, restricted facility access, lake fog advisories, road access restrictions, or townwide siren events.

If you are running late

If you are running late, contact the facility as soon as possible. Some departments may still be able to see you, while others may need to shorten, delay, or reschedule the appointment.

When contacting Scheduling Services, include:

  • Your full name and date of birth
  • Appointment time and facility
  • How late you expect to arrive
  • Whether you are already on the way
  • Whether the appointment is for Brookhaven, Alchemilla, labs, imaging, diagnostics, or a procedure
  • Your preferred callback number or portal message preference
Important: Some appointments cannot be held after the arrival window closes, especially procedure follow-ups, imaging appointments, diagnostic testing, Brookhaven intake visits, or appointments tied to provider review.

If you miss an appointment

If you miss an appointment, the visit may be marked as missed, no-show, cancelled after the scheduled time, or pending staff review. You may need to request a new appointment before care can continue.

A missed appointment may affect:

  • Provider availability for a new appointment
  • Brookhaven intake placement or waitlist position
  • Medication management follow-up timing
  • Emergency follow-up instructions
  • Lab, imaging, or diagnostic orders
  • Procedure follow-up timing
  • Referral or insurance authorization windows
  • Future scheduling review requirements
Tip: If you missed a visit because of illness, transportation problems, facility access issues, fog conditions, or a portal error, include that information when requesting a new appointment.

If the facility cancels your appointment

Sometimes Silent Hill Health, Brookhaven Hospital, or Alchemilla Hospital may need to cancel, delay, or move an appointment. If this happens, you may receive a portal message, phone call, text reminder update, or cancellation notice.

A facility may cancel or change an appointment because of:

  • Provider illness or schedule change
  • Department closure or limited staffing
  • Emergency department surge or inpatient priority needs
  • Imaging equipment downtime or lab processing interruption
  • Missing referral, order, authorization, or required record
  • Brookhaven intake review or privacy review
  • Procedure preparation issue
  • Duplicate account, profile mismatch, or linked-record issue
  • Restricted facility access, road closure, lake fog advisory, or townwide siren event
Note: If the facility cancels your appointment, check the notice for instructions. Some cancellations include a new appointment time, while others ask you to contact Scheduling Services.

Brookhaven and Alchemilla appointment rules

Different appointment types may have different late, missed, or cancellation rules.

Brookhaven behavioral health intake Missed or late intake visits may require new screening, provider matching, privacy review, or waitlist review before another appointment is offered.
Brookhaven medication management Missed medication management appointments may require provider review, especially if lab monitoring, treatment-plan review, or follow-up timing is involved.
Alchemilla emergency follow-up Missed emergency follow-up may need review against discharge instructions, test results, and the recommended follow-up timeframe.
Labs, imaging, or diagnostics Late or missed testing may require a new appointment, updated preparation instructions, order review, or insurance authorization review.
Procedure follow-up Missed procedure follow-up may require clinical review before a new appointment time is offered.
Important: If you missed a visit that was meant to review serious symptoms, emergency discharge instructions, medication concerns, or post-procedure issues, contact the facility promptly instead of waiting for a routine portal response.

FAQ

I am late and cannot reach the department

Leave a message if available and send a portal message to Scheduling Services. If you arrive after the department’s late arrival window, staff may need to reschedule the visit.

My appointment disappeared from my portal

The appointment may have been cancelled, moved, merged with a hospital encounter, or held for staff review. Check your portal messages and contact Scheduling Services if you did not receive an explanation.

I missed a Brookhaven intake

Submit a new appointment request or contact Brookhaven Scheduling. Intake placement, waitlist status, and provider matching may need review before another appointment is confirmed.

My appointment was cancelled by the facility and I still need care

Check the cancellation notice for instructions. If no new appointment was offered, submit a new request through the portal or contact Scheduling Services. Mention that the facility cancelled the previous appointment.

The appointment page looks wrong or keeps refreshing
  • Refresh your browser.
  • Clear your browser cache.
  • Try a different browser or device.
  • Check that you are signed in to the correct patient profile.
